Privacy notice
This notice explains how Virtahuolto processes personal data collected through the website and service requests.

2. What data do we process?
In connection with a service request, we process the customer's name, phone number or email address, vehicle registration number, any additional vehicle details, the description of the service need, the preferred time, and images and videos voluntarily sent by the customer. We also store technical data needed to process the request and prevent misuse.
Website use is measured only in aggregate: page view, action button used, page path, language and device category. The measurement does not store a name, contact details, registration number, IP address, cookie or persistent device identifier.
3. Why is the data processed?
The data is used to receive the service request, assess the work needed, contact the customer, agree the price and time, provide customer service and protect the service. It is not used for direct marketing without separate consent.
Aggregate usage statistics are used to improve the website's clarity and booking flow.
4. Legal basis for processing
Processing is based on steps taken at the customer's request before entering into a contract, performance of any resulting contract, and the controller's legitimate interest in protecting the service and investigating misuse.
5. Storage period
Data and attachments related only to a service request are retained for up to 12 months if no customer relationship or service agreement is formed. Data related to completed service, invoicing or statutory obligations may be retained longer under applicable law.
Aggregate usage statistics are retained for up to 400 days.
6. Data recipients and storage location
Service requests and attachments are stored in OpenAI Sites, which uses Cloudflare storage services. Requests are securely transferred to the Nostin workshop system used by Virtahuolto to handle the work.
Acknowledgements and staff notifications are sent through Resend. Virtahuolto email is handled by Google’s email service. Messages contain the contact, vehicle and service details needed to handle the request.
Online payment takes place in Virtatarvike’s Shopify checkout through the payment service selected there. The service reference, selected service and preferred time are passed to checkout. Virtahuolto’s form does not collect card details or online banking credentials. The payment service handles the payment details you provide under its own terms.
Providers and their subprocessors may also process data outside the EU and EEA, including in the United States. Their processing terms specify European Commission adequacy decisions or standard contractual clauses as applicable transfer safeguards. You can ask us for more information about the services and transfer safeguards.
We do not sell the data. Access is limited according to work duties. External map and store links take you to the respective service, where its own privacy information applies.
The homepage map loads from Google Maps only when you select Show map. Your browser then connects to Google.

7. Protection of personal data
Service requests are stored in a protected work queue. Administration requires sign-in and specific access rights. Attachments are private and can only be opened through the protected administration interface. We use submission limits and other technical safeguards.
8. Your rights
Depending on the circumstances, you may access your data, request correction or deletion, restrict or object to processing, and lodge a complaint with the Office of the Data Protection Ombudsman. For questions about your rights, contact huolto@virtahuolto.fi.
